Project Overview

Designed an MVP CRM system to help teams manage contacts from multiple sources and run targeted email communication efficiently. The product centralizes contact data, enables segmentation by contact type, and supports individual and bulk email workflows with history tracking.

Problem

Teams were managing contacts coming from different sources such as outreach, social media, and the internet, but lacked a single system to organize them and communicate effectively. As a result:

  1. Contact data was fragmented

  2. Email outreach was manual and repetitive

  3. There was no clear visibility into past communication

Goals

  1. Create a single source of truth for all contacts

  2. Support multiple contact types without increasing complexity

  3. Enable targeted individual and group email communication

  4. Reduce manual effort through reusable groups, drafts, and templates

  5. Build a scalable foundation for future CRM and marketing features

Solution

  1. Designed a centralized CRM that brings all contacts into a single system while supporting different contact types through structured tabs and contextual fields.

  2. Enabled fast segmentation and bulk actions using sorting, filtering, and checkbox-based selection to reduce manual effort in managing and targeting contacts.

  3. Integrated individual and group email workflows directly into the CRM, allowing users to send targeted communications without switching tools.

  4. Added marketing and email history capabilities, including drafts and reusable templates, to maintain context and improve follow-ups over time.

Design Process

  1. Analyzed user needs around contact organization and outreach workflows

  2. Structured information architecture to balance centralization with clarity

  3. Designed interaction patterns focused on speed and low cognitive load

  4. Prioritized core workflows required for an MVP, avoiding feature bloat

Impact

  1. Enabled teams to manage contacts across multiple categories in one system

  2. Reduced manual effort in bulk email communication

  3. Improved visibility into outreach history and campaign context

  4. Established a scalable MVP foundation for future enhancements such as analytics and automation

Key Learnings

  1. CRM products demand clarity and structure over visual complexity

  2. Segmentation is critical for effective communication, not just organization

  3. Email history and context are essential for trust and continuity in B2B tools

  4. Strong information architecture matters more than UI polish in operational products
